01 Seller Eligibility
To become a seller on EcomBuyer.in, you must meet the following eligibility criteria:
1.1 Individual Sellers
- Be at least 18 years of age
- Be a citizen or resident of India
- Possess a valid PAN card
- Have an active bank account in India
- Have a valid mobile number and email address
1.2 Business Sellers
- Be a legally registered business entity in India (Pvt. Ltd., LLP, Partnership, Proprietorship)
- Possess a valid Company PAN / Proprietor PAN
- Have GST registration where applicable (mandatory for turnover above ₹40 lakhs per annum)
- Have a valid business bank account
- Have a registered business address
02 KYC Requirements
All sellers must complete Know Your Customer (KYC) verification before they can list products or receive settlements. KYC is mandatory and must be completed within 30 days of account creation.
2.1 Required Documents
- PAN Card: Clear photo of PAN card (front). Business PAN for companies.
- Aadhaar Card: Both front and back sides. OTP-based e-Aadhaar verification required.
- Bank Account: Cancelled cheque or bank statement not older than 3 months.
- Business Registration: Certificate of Incorporation / GST certificate / Partnership deed (as applicable).
- Address Proof: Utility bill, rent agreement, or other government-issued address proof.
2.2 Verification Process
- PAN is verified through the Income Tax Department API
- Aadhaar is verified through UIDAI OTP-based authentication
- Bank account is verified through penny-drop verification
- GST details are verified through the GST portal API
2.3 KYC Timeline
KYC verification is typically completed within 24–48 hours of document submission. You will be notified by email and SMS about the status. Sellers with incomplete or rejected KYC will have restricted access to seller features.
03 Product Listing Guidelines
3.1 General Requirements
- Product titles must be accurate, descriptive, and between 10–200 characters
- Product descriptions must be truthful and not misleading
- All prices must be in Indian Rupees (₹) and inclusive of applicable taxes
- Stock quantities must be accurately maintained and updated in real time
- Products must be listed under the correct category
3.2 Image Requirements
- Minimum 1 product image required; up to 8 images allowed per listing
- Images must be clear, well-lit, and show the actual product
- Minimum resolution: 500×500 pixels; recommended: 1000×1000 pixels
- Images must not contain watermarks, promotional text, or third-party logos
- Accepted formats: JPG, PNG, WebP
3.3 Prohibited Listing Practices
- Listing the same product multiple times to gain search visibility
- Keyword stuffing in titles or descriptions
- Using another brand's name or trademark without authorisation
- Artificially inflating the "original price" to show misleading discounts
04 Prohibited Products
The following categories of products are strictly prohibited on EcomBuyer.in. Sellers found listing prohibited items will face immediate suspension.
- Narcotics, controlled substances, and drugs not approved for over-the-counter sale
- Weapons, firearms, ammunition, and explosives
- Counterfeit, pirated, or replica products of any kind
- Stolen goods or goods obtained through illegal means
- Products with obscene, hateful, or harmful content
- Products that violate any intellectual property rights
- Human organs, blood, or body parts
- Tobacco products and e-cigarettes (unless licensed)
- Alcohol (unless specifically approved by EcomBuyer.in)
- Prescription medicines without proper pharmacy licensing
- Items prohibited under the Foreign Trade Policy of India
- Any product that violates applicable Indian laws or regulations
05 Pricing Policy
Sellers have full autonomy to set their own product prices, subject to the following guidelines:
- Prices must reflect the true market value of the product
- Prices must include all applicable taxes (GST) where required
- Sellers must honour the listed price at the time of order placement
- Price changes may be made at any time but will not apply to existing orders
- Sellers must not collude with other sellers to fix prices
- Dynamic or automated pricing tools must comply with our fair pricing standards
EcomBuyer.in reserves the right to review and flag pricing that appears predatory, deceptive, or in violation of consumer protection laws.
06 Commission Structure
EcomBuyer.in charges a percentage commission on each completed sale. The commission rate varies by product category:

Commission is calculated on the final selling price (inclusive of tax) and is deducted automatically before settlement. A GST-compliant commission invoice will be issued to sellers each month.
07 Order Management
7.1 Order Acceptance
Sellers must accept or reject new orders within 24 hours of receipt. Failure to respond within this window may result in automatic order cancellation and a strike against your seller account.
7.2 Order Fulfilment Timeline
- Standard orders: Ship within 2 business days of order acceptance
- Express orders: Ship within 24 hours of order acceptance
- Pre-order items: Dispatch by the stated pre-order fulfilment date
7.3 Order Cancellations by Seller
Sellers should maintain accurate stock levels to avoid cancellations. Excessive seller-side cancellations (more than 5% of monthly orders) will result in performance warnings and potential account restrictions.
08 Shipping & Fulfilment
Sellers are responsible for packaging, shipping, and ensuring safe delivery of products.
8.1 Packaging Requirements
- Products must be securely packed to prevent damage during transit
- Fragile items must use appropriate protective packaging (bubble wrap, foam, etc.)
- Package dimensions and weight must match what is declared in the listing
- Include a printed packing slip with each shipment
8.2 Courier Partners
Sellers may use EcomBuyer.in' integrated courier partners or their own registered courier services. All shipments must include a valid tracking number uploaded to the order within 24 hours of dispatch.
8.3 Seller Responsibility
Sellers are responsible for transit damage that results from inadequate packaging. EcomBuyer.in is not liable for courier delays or losses beyond our platform's control, but will facilitate dispute resolution between sellers and buyers.
09 Returns & Refund Policy
9.1 Return Window
Sellers must accept returns within 7 days of delivery for the following reasons:
- Product is defective or damaged
- Wrong item was delivered
- Product does not match the listing description
- Product is missing parts or accessories
9.2 Return Process
When a return is initiated by a buyer, sellers will be notified and must respond within 48 hours. Sellers may approve, reject (with valid reason), or escalate returns to EcomBuyer.in for mediation.
9.3 Refunds
Upon return approval and receipt of the returned product, the seller's settlement will be adjusted accordingly. Refunds are initiated to buyers within 5–7 business days.
9.4 Seller-Funded Refunds
In cases where the return is due to seller error (wrong item, defective product), the cost of return shipping and the full refund will be borne by the seller.
10 Payments & Settlements
10.1 Settlement Cycle
Settlements are processed after the order's return window has elapsed and no disputes are pending. Settlement options:
- Daily settlements: Available for sellers with Gold & above tier
- Weekly settlements: Every Monday for orders delivered the prior week
- Monthly settlements: On the 5th of each month for the prior month
10.2 Deductions
The following are deducted before settlement:
- Platform commission (as per category rate)
- GST on commission (18%)
- Payment gateway charges (as applicable)
- Refund adjustments for returned orders
- Any penalty charges for policy violations
10.3 Tax Compliance
Sellers are responsible for their own GST compliance and filing obligations. EcomBuyer.in will issue monthly TCS (Tax Collected at Source) certificates as required under the GST Act for marketplace operators.
11 Seller Conduct
All sellers must maintain professional conduct. The following are strictly prohibited:
- Attempting to transact directly with buyers outside the EcomBuyer.in platform to circumvent fees
- Soliciting buyers for reviews, feedback, or ratings in exchange for incentives
- Selling fake, counterfeit, or misrepresented products
- Abusing EcomBuyer.in' buyer protection mechanisms (false damage claims, etc.)
- Sharing another seller's confidential business data or pricing information
- Using automated bots or scripts to manipulate search rankings
- Contacting buyers outside the platform's messaging system for non-order purposes
Violations will result in warnings, account restrictions, financial penalties, or permanent account termination, depending on severity.
12 Intellectual Property
Sellers warrant that they own or have the right to sell all listed products and that the product images, descriptions, and brand names used do not infringe on any third party's intellectual property rights.
- Sellers must not use another brand's trademark, logo, or copyrighted content without authorisation
- Brand owners may report infringing listings through our IP Protection Programme
- EcomBuyer.in will remove infringing listings upon receiving a valid complaint
- Repeat infringers will be permanently removed from the platform
EcomBuyer.in complies with the Information Technology Act, 2000 and operates as an intermediary in good faith. We act promptly on valid IP infringement notices.
13 Account Suspension & Termination
13.1 Grounds for Suspension
- Violation of any policy on this page or the Terms of Service
- Failure to complete KYC within 30 days
- Order cancellation rate exceeding 10% for two consecutive months
- Late dispatch rate exceeding 15% for two consecutive months
- Verified buyer complaints of fraud or misrepresentation
- Receiving 3 or more policy violation warnings within 90 days
13.2 Suspension Process
Sellers will generally receive a warning before suspension, except in cases of severe violations (fraud, prohibited products). Suspended sellers may appeal through the Seller Support portal within 14 days of suspension.
13.3 Effect of Termination
Upon termination, all active listings will be removed and pending settlements will be processed after any dispute resolution period (up to 30 days). Outstanding obligations to buyers must still be fulfilled.

15 Policy Changes
EcomBuyer.in reserves the right to update or modify these Seller Policies at any time. Sellers will be notified of material changes via email or through the Seller Dashboard at least 14 days before the changes take effect.
Continued use of the seller platform after the effective date of any changes constitutes your acceptance of the updated policies. If you disagree with any changes, you may deactivate your seller account before the effective date.
